We all know this. Choosing the right venue is the one decision that will have the largest impact on your event. The date, time, catering options, and attendees’ pleasant experiences are all partly affected by the event space you decide to book. 

This may sound intimidating and very time consuming. For this exact reason Piovra Group and other event professionals are here to help you select the right space keeping very important elements in mind throughout the venue sourcing and booking process. 

Here are some guidelines our team at Piovra Group has put together for you to make it easier to choose the perfect venue for your upcoming event and make sure you won’t make any mistake:

1) Keep in mind the the venue’s ease of use.

Each venue should work on making the entire booking process and execution of each event easy for clients. Here is a list of elements and information each venue should provide before you sign a rental agreement and pay a holding deposit:

  • Parking arrangements (parking lot, structure or valet service)

  • Legal Capacity

  • Sound restrictions

  • Rental Furniture available

  • Bathrooms available

  • Wifi Capabilities

  • Insurance Requirements

  • Itemized list of what’s included in the rental fee.

These is essential information you need to collect ahead of time to make sure you won’t have any surprises on event day.

 

2) Is this Venue my style? 

You must be able to accommodate multiple themes to attract the largest customer base. Customers pay for experiences, not for cookie-cutter menus and one size fits all establishments. Think Disco, Big Band, 70’s, 80’s, 90’s, etc. Make sure your venue is flexible and can accommodate your requests.

 

3) Does the Venue Include additional services? 

Is the venue a one-stop-shop for packages including photography, music, food, tables, linens, chairs, AV equipment, setup crew, and clean up crew? Bringing in vendors can get extremely pricey and turn-key venues can make your life easier if you decide to plan your own event and only hire a day-of coordinator. You should look to have as much as possible included to make sure you are all covered on the day of your event.

 4) Location is KEY!

If there are out of town guests attending you must be accessible and easy to find. If you want to reduce the chances of attendees showing up late, provide them with a mobile event app, which is essentially a standard these days. The location is one of the most important things to consider when booking a venue in Los Angeles. A good and easy to reach area will alway attract a larger crowd and the result will be a very successful event.

5) Ambiance & Event Activities. 

What does the existing decor look like? Is it easily able to be changed? Updated for an expo or a gala? The more universal your decor is the less decorating you will have to provide for each event. For activities, if you are having a keynote speaker do you have access to a stage, podium, or at least a spot to place a rented stage? Will you need a demo area and do you have a large space set aside for a bar? All of these items can be the deciding factors as to why one would choose one venue space over another, and great experiences equal great referrals for your next event from your last happy guest!

6) Is the venue following COVID-19 Safety Regulations?

As we navigate through uncharted waters you want to make sure the venue is following the laters regulations and safety guidelines for venues from local government to guarantee your safety and the safety of your guests.
